Field codes in a Word Document

When you use Cite While You Write to add citations to your Word Document, hidden field codes are added, and cause the citations and the reference list to be shaded grey.

Important things to know about these codes:
  • If you want to add any text inside the citation, such as pages numbers, or the prefix "as cited in" for secondary citations, you must use the Edit and Manage Citations icon.
  • If you wish to delete a citation, you must use the Edit and Manage Citations icon.
  • You may wish to save a a copy of your document without the field codes  - some publishers require this, and for anyone doing a university assignment, the Turnitin software has problems with them.

It is critically important that you use correct procedures for adding text and deleting. Any changes you make without using Edit and Manage will not be permanent and will not remove the field codes correctly, risking corruption of your Word document.

To remove the field codes from your document

Click on the Convert Citations and Bibliography drop down menu

Choose Convert to Plain Text. EndNote will prompt you to save a copy of the new document. The original document remains unchanged. It is recommended that you only do this when you have finished your document. Any subsequent changes need to be made on the original.
