Adding references manually

Most references can be exported from databases or catalogues, but there are always some you will need to type in, or cut and paste, most commonly websites / pages.

To create a reference, select References>New Reference from the toolbar, or click the new reference icon:

Choose the Reference Type from the Drop Down Menu

Do I have to enter all of those empty fields?

No. Just enter those essential to create the citation. If you only wish to view the fields you have entered you can hide the empty ones, by clicking the wheel on the upper right hand side of the reference window and unticking Show Empty Fields:

Other useful fields are: 

Keywords, as these are searchable. You can make up your own keywords. When you export from Databases the subject headings are usually added to the Keywords field. Add a semicolon between each keyword, or hit the return carriage.

Notes and Research notes- will take 14 pages of text each so that you can include summary or appraisal of the resource.

Tips for entering author names
  • Enter every author, on a separate line regardless of your style requirement - hit carriage return to add each extra author. For personal authors, preferred order is Family Name, Given Name or Initials with a space between each initial - full stops not necessary.

  • For corporate authors, add a comma at the end, so that it displays correctly.

Title Capitalisation

When entering titles of articles, books or journal names, you have to check the capitalisation yourself, the Style may not manage this. Generally there are two types used; Sentence Style (APA and Harvard) which is lower case apart from place names, proper nouns etc; and Headline Style where all major words are capitalised but generally words such as of, and, for are not. All styles do this for Journal Names without exception. Headline styles for titles are rare, and specific to a journal. If your titles in the library are lower case, the style may be edited to output Headline style, ask a librarian for assistance to do this.

Saving, checking and editing your reference

To Save a Reference, click on the X in the new reference window.

To Preview the Reference in your style, Select the style you want from the drop down menu in the top left of the screen, and then click on the Preview tab. If you see errors, it is easy to click the reference open, make changes, and close with the X to save the changes.
